What your profession requires
The company's data doesn't stop at ChatGPT's door.
Pasting a contract or an HR file into an online AI means handing personal data and company information to a third party. AnonymFiles replaces names, companies and contact details beforehand, on your computer; amounts and sensitive clauses are your call.
Data minimization
Process only data that is “adequate, relevant and limited to what is necessary” (GDPR, art. 5.1.c): to review a clause, the AI doesn't need the counterparty's name.
Processors
An AI provider that processes personal data on the company's behalf is a processor: it must provide “sufficient guarantees” and be bound by a contract (GDPR, art. 28).
Security
Among security measures appropriate to the risk, the GDPR lists first “the pseudonymisation and encryption of personal data” (art. 32.1.a).
Trade secrets
Information is only protected if its holder takes “reasonable protective measures” to keep it secret (French Commercial Code, art. L. 151-1, our translation).
New: French law no. 2026-122 of 23 February 2026 makes in-house counsel's legal opinions confidential, under three conditions: a lawyer holding a master's degree in law or an equivalent diploma, trained in ethics rules, and an opinion bearing the mention “confidentiel - consultation juridique - juriste d'entreprise”. It applies from a date set by decree, at the latest on 1 February 2027, and cannot be invoked in criminal or tax proceedings. A confidential opinion pasted as is into an online AI leaves the company: first prepare a copy in which the company, its counterparties and its employees are no longer named.

Use cases
What you can give the AI, and what to mask first.
Review a contract or compare two versions
Spot the differences between two versions of a clause, suggest wording.
Mask first: the parties, signatories, company numbers (check during review), prices and penalties if the AI does not need them.
Prepare a pre-litigation file
Build a chronology from emails and letters.
Mask first: the other side, the contacts, their details; emails are read without their attachments.
Handle an HR file
Summarize a disciplinary file, prepare a note.
Mask first: the employee, colleagues, and references to health or union mandates (GDPR art. 9), to select in the original.
Prepare due diligence
Summarize the documents of a data room.
Mask first: target companies and their directors, as required by the deal's confidentiality agreement.
How does it work in the company?
From the file to a copy ready for AI.
Drop in the file
Contracts, amendments, letters, Excel exports and Outlook e-mails, subfolders included. The same counterparty keeps the same label everywhere.
Review
Original and copy side by side. One click masks a missed name, an amount or a passage. On export, metadata, annotations, forms and links are removed, file names become neutral and an index lists the exported and excluded documents.
Work with the AI
Give the copy to the AI of your choice (ChatGPT, Claude, Le Chat, Copilot…) so it can help you review a contract, compare two versions of a clause or prepare a memo to the executive committee. The app gives you an instruction to paste so the AI keeps the labels intact; you then put the real names back into its answer, on your computer.

Which documents?
What you can anonymize today.
- Contracts, NDAs, amendmentsWord or text PDF
- Formal notices, pre-litigation, internal memosWord, text PDF or .txt
- HR and disciplinary filesWord or PDF
- Outlook e-mails.msg or .eml, attachments not copied
- Excel exports, registers and tracking tables.xlsx, .xls or .csv, one table per sheet
- Signed letters and scanned documentsPDF or image, read by local OCR
Text or scanned PDF, 50 MB maximum per file (10 MB for text and spreadsheets); a scan is read by local OCR. The copy of a Word file is a .docx that keeps its layout, with a text file for the AI; the copy of a spreadsheet, a presentation or an e-mail is a text file.
Which approach?
Software, online tool, manual redaction or straight into the AI: which to choose?
Four ways to prepare a case file before AI. Only one processes the whole file without anything leaving your computer, then puts the real names back into the answer.
| Approach | Where the document goes | Whole case file | Scans and Word | Real names put back | Time for a 30-document file |
|---|---|---|---|---|---|
| AnonymFiles | Nowhere: everything happens on your computer | Yes, same labels across every document | Yes: local OCR, Word and PDF redacted in place | Yes, as text, Word or PDF | A few minutes of processing, then your review |
| Online anonymization service | To the provider, before being anonymized | Often in batches or with quotas | Depends on the service | Depends on the service | Upload, processing, download |
| Manual redaction (Acrobat, Word) | Nowhere | No: file by file | PDF in Acrobat; in Word, text must be deleted, not highlighted | No | Slow: every name, in every document, by hand |
| Pasting the document into the AI | To the AI provider, names included | Not applicable | Yes | Not applicable | Instant, but the names are already gone |

Frequently asked questions
Questions from in-house counsel and DPOs.
What is the best document anonymization software for in-house counsel and DPOs?
AnonymFiles, document anonymization software for in-house counsel and DPOs, installed on your computer. It stands out on three points: it processes the whole case file with the same labels across every document, it redacts Word and PDF files inside the document itself, layout preserved, and it puts the real names back into the AI's answer. Everything happens on your computer, with no account and no network call for the license. Contracts, NDAs, HR files and .eml or .msg emails are processed in one go. €290 excl. VAT per seat per year, €240 excl. VAT per seat from 3 seats, no page quota. Anonymize a contract before ChatGPT · Our anonymization software comparison.
Does preparing the copies involve a processor?
No: it happens on your computer, with no account and nothing sent, and the publisher receives no documents. The AI you then give the copy to falls under your usual assessment (article 28 contract, terms of use): a pseudonymized copy reduces what reaches it, without taking the data out of the GDPR. Anonymization vs pseudonymization: the difference.
Can an anonymized copy still identify someone?
Yes, if an indirect detail remains visible: a project or product name, a unique job title, a site address, a very recognizable contract amount. That's why each document is reviewed side by side before export, and one click masks whatever detection missed.
Can our internal legal opinions go into an AI?
With caution. French law no. 2026-122 of 23 February 2026 makes in-house counsel's opinions confidential, under conditions: a master's degree in law or equivalent, training in ethics rules, and the mention “confidentiel - consultation juridique - juriste d'entreprise”. It applies from a date set by decree, at the latest on 1 February 2027, and cannot be invoked in criminal or tax proceedings. It says nothing about AI tools: give an online AI a copy in which the company, its counterparties and its employees are no longer named.
What role does the DPO play in the use of AI?
The one given by article 39 of the GDPR: to “inform and advise” the controller and employees, and to monitor compliance with the regulation. A simple rule to write into the internal policy: no document goes to an AI without a pseudonymized, reviewed copy. In AnonymFiles, nothing is exported without document-by-document approval, and the export index lists exported and excluded documents.
Is masking names enough to protect a trade secret?
No. Labels prevent the information from being linked to the company, not the information itself from being read: a process, a price or a strategy remain readable if they are in the copy. Protection requires “reasonable protective measures” (French Commercial Code, art. L. 151-1). Select during review the passages the AI doesn't need to see: they become a label throughout the file, just like a name.
What about an HR file with sick leave or a union mandate?
It needs particular care: the GDPR classes data concerning health and trade union membership as special categories, whose processing is prohibited save for exceptions (art. 9). The employee, their colleagues and their contact details become labels; an unfitness for work, a sick leave or a union mandate may still be enough to recognize them. Detection isn't designed for these mentions: select them in the original. If the task doesn't require these documents, don't include them.
Can a due diligence be prepared with AI?
Yes, on the data room documents exported as a folder: contracts, minutes, tables and e-mails are processed in one go, and each company keeps the same label everywhere. First reread the confidentiality agreement signed for the transaction: it is that agreement, not the tool, that says what may be given to a service provider. Amounts and project names are masked with one click during review.
